A list of 500 companies in the same industry and region looks like a good starting point. In practice, most of them are not at a stage where being contacted makes sense — they already have a supplier, have no budget, or simply are not the kind of company that buys what is being sold. Reaching out to all 500 the same way spends the same effort on whoever will reply and whoever will never read the message.
Qualifying is not guessing
Qualifying before contact means looking at signals that are already public — no calls, no meeting requests — and using them to decide who is worth reaching first. It is not an exact science, but it separates who is likely in need of what is being offered from who is content with what they already have.
The goal is not to shrink the list for its own sake. It is to trade 500 generic contacts for 50 with an actual reason to reply.
Signals worth acting on
What is not a signal at all
Company size, years in business, or being on the right phone list say very little about where a company actually stands right now. A large, stable company may have no intention of changing anything; a small one, two months old, may be desperate to solve exactly the problem being solved. Filtering only by demographic profile produces large lists and thin reply rates.
Where to look for these signals
Google and Google Maps show reviews, opening hours and whether the site is still active. LinkedIn shows recent hires and role changes. Instagram and Facebook show whether someone is tending the online presence, and for how long they have not been. None of these sources require paying for a tool — they require someone looking at them, company by company, which is exactly the work that does not scale by hand.
Where that leaves you
Before sending the same message to 500 companies, pick 50 with at least one of these signals. The reply rate usually makes up for the time saved by not writing to the other 450.
